Re: Committee Minutes and Logistics regarding Meetings

Dear Mr. Hughbanks and Members of the Sand Point Community Communications Committee,

The Laurelhurst Community Club Board of Trustees offers the following suggestions regarding logistics and planning for Sand Point Community Communications Committee (SPCCC) meetings. Our suggestions are intended to improve the effectiveness of meetings in fostering a substantive role for the Committee.

Minutes in General: SPCCC members should review the minutes of each SPCCC meeting and approve the minutes as corrected at each meeting.

Corrections to the Minutes: We offer the following corrections to the January 23rd minutes:

1. The minutes should reflect that Mike Daniels from Seattle Audubon was present at the meeting.
   
   
2. The minutes fail to include feedback from committee members on issues that surfaced at the meeting. This information should be included in the minutes.
   
   
3. On page 3, the minutes note that the Wedgwood alternate posed several questions about transportation and parking related to the activities and that these questions had been discussed earlier throughout the Day Camp presentations. The minutes do not include the questions raised or Parks Department responses to those questions. This should be included in the minutes.
   
   
4. On page 3, the minutes reflect that C. David Hughbanks suggested that the next SPCCC meeting would be devoted entirely to transportation and parking issues. This should be changed to note that representatives from Windermere North, Wedgwood and Laurelhurst requested that the Committee be afforded an opportunity to address parking, transportation and traffic issues associated with proposed Sand Point/Magnuson Park development at the next meeting and that C. David Hughbanks agreed.

Future Agenda Items: We are aware that a number of Project Advisory Teams (PATs) have been formed for projects related to development at Sand Point/Magnuson Park. The 2001 Parks Development and Acquisition Communications Plan indicates that the Parks Department is responsible for producing agendas of PAT meetings, preparing meeting summaries and reports and coordinating distribution of reference materials. The Sand Point/Magnuson Park Public Involvement and Communication Plan further notes that PAT meetings are open to the public and that the purpose of the PATs are to advise on project development--phasing, priorities and design issues. To fulfill the Committee's role "to provide information for discussions and suggestions related to physical development and programmatic matters relating to Sand Point/Maguson Park and to provide input on potential future amendments to the conceptual Plan" as outlined in the Sand Point/Magnuson Park Public Involvement and Communications Plan, we recommend that the following information be provided and agenda items scheduled for future SPCCC meetings:

1. SPCCC representatives, alternates and other interested community members
   • Should be provided with agendas and meeting summaries for all past and future PAT meetings;
   • A listing of all Sand Point/Magnuson Park PATs and contact information for those involved; and
   • Notice of all PAT meetings, including the date, time and location of the meeting; and

2. Representative members of each PAT should be invited to the next and future SPCCC meetings to brief the SPCCC on progress and issues regarding PAT activities.

We hope you will consider our requests to improve the effectiveness of the Sand Point Community Communications Committee.
